Your Data, Your Rights

At OPEN THE DOOR STUDIOS (“OTD”), we strive to maintain a relationship of trust and transparency with everyone we interact with (“You”). For this reason, we have prepared this Privacy Notice (“Notice”) to help You understand how your information is processed by OTD in connection with your relationship with us and how You can exercise your rights concerning that information.

Our priority is to safeguard your privacy and the security of your Personal Data. Therefore, any information You provide to us will be handled within the limits established here and in accordance with applicable law.

1. HOW DO WE COLLECT YOUR PERSONAL DATA?

The information we process about you may have been provided directly by You to OTD or by Third Parties.

Let’s take a closer look at each of these data collection scenarios:

a. Information provided directly by You

From the beginning of your interaction with us, You may voluntarily provide us with information about yourself. For example, when You contact us through our communication channels or when you register for participation in selection processes.

b. Information obtained from Third Parties

In specific cases, we may also receive some of your Personal Data from Third Parties. For example, information provided by OTD contractors.

2. WHAT PERSONAL DATA DO WE PROCESS ABOUT YOU?

To respect your privacy, any and all processing of Personal Data will be limited to the minimum necessary, in a pertinent and proportional manner, to achieve the intended purpose.

Therefore, the Personal Data we collect about you will vary according to your relationship with us, such as being a representative of our clients, partners, a candidate in selection processes conducted by OTD, among others.

Below, grouped into categories, we present the main Personal Data that may be processed by us:

  • Registration data: name, date of birth, ID number (RG), Tax ID number (CPF);
  • Qualification data: residential/commercial address, marital status, nationality, parentage;
  • Contact data: landline or mobile phone number and personal and/or professional email addresses;
  • Financial data: bank account and agency details;
  • Professional data: profession, workplace, position, professional history, academic qualifications, diplomas, and other certification credentials.

4. WITH WHOM DO WE SHARE YOUR PERSONAL DATA?

OTD may share your Personal Data, limiting it to the minimum necessary to fulfill a specific purpose and as previously informed to You in this Notice.

Thus, we may share your data with Third Parties in the following situations:

  • Business partners and service providers, to enable the necessary infrastructure for our services;
  • Administrative and judicial authorities when necessary to comply with legal obligations or assist in the investigation of suspicious or illegal activities; and
  • Law firms, legal advisors, and other legal representatives when necessary to defend OTD’s interests in administrative, arbitration, or judicial proceedings.

5. HOW LONG DO WE STORE YOUR PERSONAL DATA?

We will not retain your Personal Data for longer than necessary for the purposes outlined above, nor will we use your data for other purposes, except as authorized by law.

When retaining Personal Data after achieving the purpose for which it was collected becomes necessary, the criteria for determining the retention period will include:

  • If we have a legal, regulatory, contractual obligation, or an obligation imposed by a competent authority to retain Personal Data; and
  • If it is necessary to maintain accurate historical, commercial, and financial records or to meet internal company requirements.

We have internal policies that dictate how Personal Data should be handled by OTD. These guidelines aim to ensure the proper and lawful processing of the Personal Data for which we are responsible.

7. WHAT ARE YOUR RIGHTS, AND HOW CAN YOU EXERCISE THEM WITH OTD?

Regardless of your relationship with OTD, You are entitled to all rights concerning your Personal Data as provided by law, including:

  • Knowing whether we process any of your Personal Data;
  • Knowing which of your Personal Data is processed by us;
  • Correcting incomplete, inaccurate, or outdated data;
  • Requesting the anonymization, blocking, or deletion of unnecessary or excessive data or data processed in violation of the law;
  • Requesting the portability of your personal data to another service or product provider;
  • Requesting the review of automated decisions that affect your interests;
  • Requesting the deletion of data processed with your consent;
  • Obtaining information about public or private entities with which we share your data; and
  • When the processing activity requires your consent, You may refuse to consent. In such cases, we will inform You of the consequences of not proceeding with the activity. If You consent, You may revoke it at any time.

You can exercise your rights at any time via email at privacy@openthedoorstudios.com. To do so, we ask that you identify yourself and specify which right you wish to exercise.

It is possible that OTD may request additional information and/or documents to confirm your identity or the accuracy of your information.

Requests involving Personal Data and/or documents of other Data Subjects will not be fulfilled unless supported by a power of attorney, parental authority, or another condition that authorizes the exercise of another Data Subject’s rights on your behalf.

It is important to note that, in specific circumstances, your request may not be fulfilled. In such cases, we will explain the reasons for not fulfilling the request.
